We didn’t set out to build another property management system.
We set out to change the way property management companies work.
DOT (Done On Time) was born from a simple observation: even businesses managing enormous property portfolios can find themselves spending most of their day reacting to problems rather than staying ahead of them.

Two competitors. Thousands of properties. The same problem.
It started when two competing property management companies approached our development team.
Both managed substantial portfolios. Both had experienced teams and established systems. And both were struggling to keep control of their day-to-day operations.
Hundreds of thousands of emails had accumulated. Important information was scattered across inboxes and conversations. Tasks were difficult to track, and too much depended on individual employees remembering what needed to happen next.
The problem wasn’t a lack of effort. Their teams were busy.
The problem was that being busy and being in control are two very different things.
With seven years of firsthand property management experience within our development team, we understood many of these challenges. But we didn’t want to build a system based on assumptions.
We studied how property management businesses operated, where work got stuck and what separated businesses that were constantly firefighting from those that stayed ahead.
And one distinction kept coming up.
Reactive businesses deal with problems. Proactive businesses stay ahead of them.
In a reactive business, the day is driven by whatever demands attention next. Emails pile up, follow-ups get delayed and small issues can become urgent simply because nobody had the time or visibility to deal with them earlier.
- !Emails pile up
- !Follow-ups get delayed
- !Small issues become urgent
We wanted to give property management teams the tools to make that shift.
Not just to manage the workload. To get ahead of it.
What if everything that needed your attention came to one place?
That question became the foundation of DOT’s Today View.

- Reply to a message
- Assign responsibility
- Turn an email into several tasks
- Link a conversation to a property
- File something away
- Ask AI to help with the next step
Instead of checking separate inboxes, task lists, WhatsApp conversations, internal messages and reminders, your team starts the day with one connected view of what needs attention.
Emails, messages, tasks, mentions, document reviews and more, brought together in a single place.
But the real difference isn’t simply seeing everything together.
It’s being able to do something about it.
Rather than reading something, marking it unread and hoping to remember it later, your team can deal with it, delegate it or make sure the next action is accounted for.
And once the incoming work is under control, they can turn their attention to what needs doing tomorrow, next week and beyond.
That’s how you move from constantly reacting to working proactively.
Everything in one place. Focus where it matters.
Bringing everything together is only half the answer.
We also recognised that people need the space to concentrate.
That’s why DOT gives each important area of your operations its own dedicated workspace, whether that’s tasks, workflows, emails, arrears, certificates or property information.
When you’re working on something specific, you can focus on it without every other part of the business competing for your attention.
And wherever you’re working, DOT’s AI assistant is there to help you find information, make decisions and get things done.
One connected operation, without everyone having to look at everything all the time.

Built by people who understand the problem.
DOT is developed by ProtoByte Apps Ltd, a UK-based software development company specialising in custom business systems.
Combining firsthand property management experience with our expertise in developing operational software, we’ve built DOT around the realities of busy property management businesses.
And we continue to develop it with the same principle that started everything:
Good software shouldn’t just help you keep up with work. It should help you get ahead of it.
